Queue management, term by term

Every term you'll meet while evaluating queue software, defined in plain English — from virtual queues and QR check-in to the metrics that decide your staffing.

Queue management software

A digital tool that replaces physical lines and paper sign-in sheets. Customers join a virtual queue from their phone, see their real-time position, and get notified when it is their turn, while staff manage the flow from a dashboard.

Virtual queue

A line that exists as an ordered list in software rather than as people standing in a room. Customers hold their place remotely — from a car, a coffee shop, or home — and return when they are called.

Digital queue

Any queue tracked by software instead of paper or memory. Beyond ordering customers, a digital queue produces data a paper list cannot: arrival rates, wait times, service times, and no-show counts.

Waitlist

An ordered list of customers waiting for service, usually joined before or on arrival. In practice "waitlist" and "queue" describe the same thing; restaurants and salons tend to say waitlist, clinics and government offices say queue.

Walk-in

A customer who arrives without an appointment and is served in queue order. Businesses that mix walk-ins with booked appointments need scheduling logic that fills the gaps between appointments with walk-in traffic.

Virtual waiting room

The customer-facing side of a virtual queue: the phone screen where a waiting customer watches their live position, estimated wait, and status updates instead of sitting in a physical waiting room.

QR code check-in

Joining a queue by scanning a printed QR code with a phone camera. The code opens a web page where the customer enters their name and joins — no app download, no account, no kiosk hardware.

Kiosk check-in

Joining a queue at a dedicated on-site device — a tablet or touchscreen terminal in the lobby. Common in enterprise systems like Qminder and Qmatic; the alternative is customers checking in on their own phones.

Take-a-number system

The classic paper-ticket dispenser: pull a numbered ticket, wait for it to be called. The digital equivalent issues the number to the customer’s phone and adds live position tracking and notifications.

FIFO (first in, first out)

The default queue discipline: customers are served strictly in arrival order. Most walk-in queues are FIFO with exceptions layered on top — appointments, priority cases, or customers who choose a specific staff member.

Priority queue

A queue where some customers are legitimately served ahead of arrival order — triage cases in a clinic, booked appointments at their scheduled time, or accessibility accommodations. Good systems make the reordering visible and predictable.

Average wait time

The mean time between a customer joining the queue and service starting. Estimated as people ahead × average service time ÷ staff serving; measured properly, it is tracked per visit by queue software.

Average service time

The mean time one customer spends being served. It is the multiplier in every wait estimate, and the number businesses most often guess wrong — a 5-minute error compounds across everyone in line.

No-show rate

The percentage of customers who join a queue or book a slot but never arrive for service. High no-show rates inflate quoted waits for everyone else; notifications shortly before a customer’s turn are the main countermeasure.

Show rate

The inverse of no-show rate: the share of queued customers who actually complete service. A core queue analytics metric alongside customers served, average wait, and busiest hour.

Head-start notification

An automated message sent when a customer is a few positions from the front — far enough ahead that a customer waiting off-site has time to walk back before being called.

Concierge mode

Front-desk staff adding customers to the digital queue on their behalf — for phone-in requests or customers without a phone. It keeps one authoritative queue even when not everyone self-checks-in.

Multi-provider routing

Distributing one incoming queue across several staff members ("providers"), either automatically to whoever is free next or by customer choice. The feature that separates single-line tools from team-capable ones.

Dynamic scheduling

Running booked appointments and walk-ins in one timeline: appointments hold their slots while walk-ins automatically fill the gaps around them, recalculating as the day drifts.

Queue analytics

The reporting layer of a digital queue: customers served, average wait and service times, show rate, busiest hours, and per-staff breakdowns. Used for staffing decisions and for catching drift in service times.
